Apizeal makes your job easier when it comes to performing a task that follows the same pattern. For example, using the data of family members that you have registered on a policy.

How?

Using the "DUPLICATE/RENEW" function to register the new health plan for a dependent or member who is part of the same family group in the Health Marketplace (ACA/Obamacare), reusing the data you already have saved.

✏️ Note: for more details on other use cases for the "DUPLICATE/RENEW" function, click here.

Here are the steps to follow:

1. Go to the "Policies" section

Go to the left sidebar menu, option "POLICIES". From your list of policies, locate the policy with the family group for which you want to generate a new plan with a different carrier.

2. Click on "Duplicate/Renew"

Now, go to the rightmost column and click on the blue button with the arrow icon. You will see that a list of options is displayed, click on the option "DUPLICATE/RENEW" (duplicar/renovar in Spanish).

3. Select "No, do not change the status"

A dialog window automatically appears with 3 options. Make sure to select the first option: "No, do not change the status" and click on the blue button "YES, DUPLICATE IT".

Next, you will see that a new application form is generated, which contains the previously registered information of your client's family group.

This is where it is important to pay attention...

4. Go to "Family Members"

Now, select tab number two (2) "FAMILY MEMBERS" and locate the member for whom you need to register the new health plan.

Next, you must click on the "SWITCH WITH THE POLICY HOLDER" button to change the policy holder of the plan or policy.

👀 Important: Verify the policyholder change you just generated. You will see that while making modifications and updating the data, the form is in "DRAFT" status. Always make sure to save changes by clicking the "SAVE CHANGES" button.

How to verify the changes?

Check each of the four tabs.

  • In tab 1 "CLIENT", verify the first required field corresponding to the question: Is this member an applicant? In this case, the family group member is now an applicant, so the answer should be "YES". Now click "SAVE CHANGES" to save the changes.

  • In tab 2, update the information if necessary, or leave it as it is.

  • In tab 3 "INSURANCE & PAYMENT", indicate the company that corresponds to the new plan, even if they are from the same family group and have the same effective date. Remember that a member is changing insurers.

  • You can also enter the plan details and even the member ID in the respective field. Make sure to save all the changes.

  • In tab 4 "EXTRAS", finally click the "SUBMIT" button to register the new policy. Now you will see that the status changes from DRAFT to NEW.

What is the result?

This way, you have registered a different plan for this family member. When you check your list of policies, you will see that you now have a new application.

Use notes to keep a record

You can leave comments in the policy notes about the actions you just performed. You can even copy the URL of the policies of other family group members.
