What Does a Policy Status Mean?
The status refers to the term or label used to designate the current situation of a client’s policy.
You can view it from the general list of policies by clicking on the "POLICIES" option in the main menu on the left side of the screen:

1. How is a policy’s status determined?
It is determined based on your needs and the situations you want to keep track of.
For example, making a payment, sending a document, a canceled policy, among others, so you can distinguish the outcome of your work through the policy’s status.
Additionally, you can change the status based on the policy’s progress, as many times as necessary.
Automated Status Classification for Policies in Apizeal
When you start registering a new policy application but don’t complete all the required fields, Apizeal automatically assigns the status "QUOTE".
When an individual makes any changes or updates to their policy through the client portal available in Apizeal, the system automatically assigns the status "UPDATED BY CLIENT".
When using the "DUPLICATE/RENEW" function to register a new policy, Apizeal automatically assigns the status "QUOTE" to the new application. Also, depending on the selected option when duplicating the form, Apizeal automatically assigns the status "RENEWED" or "CANCELED" to the original application.

2. Default Configured Status Descriptions in Apizeal
As an Apizeal user, and depending on your access role, you can create your own custom statuses. But you also have access to a list of different pre-configured statuses for policies, which are described below:
Status "DRAFT": In this status, the client’s information is already entered into the system, but not all the required fields in the policy form have been completed.
Applications with the status "DRAFT" are not yet considered policies in Apizeal; therefore, they are automatically saved in the "DRAFT" section located on the left side of the "POLICIES" screen, and you can always return to the draft application to complete the information.
Status "NEW": This status indicates that a new policy has been officially registered in Apizeal; and occurs when you click the "SUBMIT" button in the policy form.
For example: it could be a new client or a new coverage for an existing client.
Status "CANCELED": This is automatically assigned when you indicate that the policy has been or will be canceled from the date specified when using the "DUPLICATE/RENEW" function.
Status "RENEWED": The "RENEWED" status indicates that you have renewed the coverage for a policy of a client who already existed in your list of policies.
It happens automatically when you use the "DUPLICATE/RENEW" function to renew an application. For example, during Open Enrollment, health coverage is renewed each year.
Status "COMPLETED": When you mark a policy as "COMPLETED" in Apizeal, it means that the registration has been completed and the coverage is active, with no pending tasks left to execute.
This status can be assigned automatically by the system after importing your database; or, depending on your assigned role in Apizeal, it can also be manually assigned to the policy or policies that require it.
Note: If you have the "agent" role, then the "COMPLETED" status can only be assigned by authorized personnel or staff from the agency you work with.
Status "PENDING DOCUMENT": This status indicates that there are incomplete or pending documents/files required to successfully finalize the policy registration or to keep the coverage active, depending on the case.
It can be automatically assigned by the system after importing your database, or it can also be manually assigned to the policy or policies that require it.
Status "PENDING PAYMENT": This status indicates that there is a payment that is incomplete or in process in order to successfully finalize the policy registration or to maintain active coverage, depending on the case. It can be manually assigned to the policy or policies that require it.
Status "MIGRATED": This status indicates that the policy has been successfully imported into your Apizeal account. It is automatically assigned by the system after migrating your database. It can also be manually assigned to the policy or policies that require it.
Status "UPDATED BY CLIENT": The "UPDATED BY CLIENT" status indicates that the client has made an update or change to their registered information in Apizeal through their client portal. This may include uploading documents to their profile.
It is automatically assigned when the client saves those changes, and the agent simultaneously receives an email alert notifying them of the changes.
Status "WAITING ON AGENT": This status indicates that there is a pending task the agent must complete to successfully finalize the policy registration or maintain active coverage, depending on the case.
Depending on the access role assigned to you in Apizeal, this status can be manually assigned to the policy or policies that require it.
Status "WAITING FOR APPROVAL": This status indicates that the agent has completed the necessary information and documents to successfully register a policy and is waiting for the agency to review and approve it to proceed with the process.
