How to create referral links between portals

The "Connected Portals" feature allows organizations within Apizeal to establish referral relationships with other agencies. This makes it easier to share policy information between collaborating organizations.

Referral links are unidirectional, meaning the connection is created from the portal that will send referrals to the portal that will receive them. For example:

  • If your agency wants to share policy and client information with another agency, you must create a connection from your portal to that agency’s portal.

  • If that agency also wants to refer clients to you, they must create a separate connection from their portal to yours.

This approach ensures each portal maintains full control over its connections and permissions.


Access the "Connected Portals" module

To manage referral links between portals, first navigate to the configuration area.

  1. From the left sidebar menu, click "SETTINGS".

  2. In the configuration panel, select "CONNECTED PORTALS".

This section allows you to manage all referral connections between your portal and other organizations.


Identify your portal code

Each organization in Apizeal has a unique portal code. This code is required to create connections with other portals.

On the upper left section of the screen, you will see the field labeled "PORTAL CODE". This code:

  • Uniquely identifies your portal within the system.

  • Must be shared with other agencies if you want to connect with them.

  • Is the code other organizations must enter to send referrals to your portal.


Create a new referral connection

To connect your portal with another organization and send referrals to them, you must create a connection request.

  1. Click the "ADD REFERRAL" button located at the top right of the screen.

  2. A pop-up window will appear to register the connection.

In this window you must complete the following information:

  • Portal code (required): Enter the portal code of the organization you want to connect with.

  • Permissions – Access policy parameters: This option allows you to grant the connected portal access to certain policy-related parameters.

After entering the information:

  • Click "SUBMIT" to send the connection request.


Connection approval process

When you create a referral connection with another portal, the connection is not activated automatically. The process works as follows:

  1. The agency that wants to refer clients creates the connection request.

  2. The receiving agency receives the request.

  3. That agency can approve or reject the connection.

Until the request is approved, the status will appear as Pending.

Once approved, the referral link becomes active and you can start referring clients to that organization.


View agencies you refer clients to

In the "AGENCIES WE REFER TO" tab, you will see all organizations your portal can send referrals to. The table displays information such as:

  • Connected organization.

  • Access permissions.

  • User who created the connection.

  • Request status.

  • User who approved or rejected the connection.

You can also remove a connection if you no longer want to refer clients to that agency.


View agencies that refer clients to you

The "AGENCIES THAT REFER TO US" tab shows organizations that have created a referral connection toward your portal.

Here you can see:

  • Which organizations are connected to you

  • The connection status

  • Who created the request

  • Who approved the connection

This view helps you monitor which agencies are able to send you prospects or clients.
