Policy status for documents and payment: What are they and how to change them?

Know the status of your policies and learn how to manage them effectively.

At Apizeal, we always listen to the suggestions and recommendations of our clients to improve our platform and adapt it to the specific needs of health and life insurance agents and agencies.

That's why we now offer you three different statuses for your policies, to facilitate the planning, coordination, and supervision of all your policies and those of your team, allowing you to easily verify if a task is pending, in progress, completed, or in the state you want to assign it.

What are the new statuses?

Now you have three statuses available for each policy:

  • General status: This is the overall status of the policy. You can choose between completed, canceled, completed by agent, renewed, and even create your own customized statuses.

  • Documents status: This allows you to choose a specific status for the documents related to that policy. Are you missing your client's green card? Simply assign the "pending" status.

  • Payment status: This status is specific to organize your policies based on their payment status with the insurance company or carrier.

As you can see, you can now individualize the statuses according to your needs to keep your workflow much more effective, organized, and fast.

👀 Important: The policy statuses in Apizeal are not linked to the Health Marketplace status or any other platform. You must always update them manually.

How can you change the status of policies?

To make changes and choose the status that defines the situation of a policy, Apizeal offers you two (2) options:

Change status from the list of policies:

1. Go to "Policies" section

From the main menu of Apizeal, click on the "POLICIES" option and expand the list of policies registered in your portal.

Now, to change the status of one or multiple policies at the same time, locate the checkbox or selection box that appears on the left side of each policy in your list, and click to select the policy or policies that you are interested in changing their status.

2. Select "Change Status"

After selecting the policies, you will see that the "CHANGE STATUS" button automatically appears in the upper left corner of the screen.

3. Select the status

Next, the "CHANGE POLICY STATUS" window will appear, where you will see a list of options to change the overall status of the policies, documents, or payments, as applicable.

Select from the list the status you wish to assign to the policy in each case and confirm your selection by clicking the "SUBMIT" button.

💡 Pro-Tip: You can use the advanced search filters to ask the system to show you only the policies you want to see. It's as simple as clicking the "MORE FILTERS" button to combine different search filters and make a mass change of status for multiple policies at once.

Changing the status from a policy form.

1. Go to "Policies" section

From the main menu of Apizeal, click on the "POLICIES" option to display the list of policies registered in your portal.

Now locate the policy to which you want to change the status, and click on the name of the person you are interested in.

2. Look for the "Status" option.

You will see that the screen with the form of the respective policy is displayed. In the "POLICY SUMMARY" submenu located on the left side, look for the "STATUS" option and click on the edit icon.

3. Select the status

The "CHANGE POLICY STATUS" window will automatically appear and you will see a list of options to select the policy status according to your needs, choose the one that interests you in each case. Confirm your selection by clicking on "SUBMIT".

✏️ Note: The policy status is updated at the same moment the change is made.
