What Are Policy Notes and What Are They For?
Notes in policies serve as an internal communication channel between the agency, the agent, and the administrative staff. They are used to document comments related to customer service, activities, pending tasks, or adjustments regarding a policy.

Notes become a conversation thread as new comments and replies are added. Each entry logs the responsible user, along with the date and time.
Receive Real-Time Notifications
Stay updated with alerts when new notes are added. You’ll automatically receive notifications via email, your Apizeal.com portal, or directly on your mobile device by downloading the Apizeal app.
Follow These Steps:
Step 1: Access the Policy Where You Want to Add a Note
Click on the “POLICIES” option in the left-hand menu. A list of available policies will appear.
Now, select the policy where you want to leave a note. There are two ways to create notes in the system:
In the policy list, locate the name of the person you're interested in and click on the blue button marked with a "v" arrow next to the “PREVIEW” option at the end of the row. A submenu will appear, select the “NOTES” option.
The “Notes” section will automatically display on the right side of the screen.
Step 2: Write Your Note and Select Notification Recipients
A notes window will open for the selected policy. Here, you can view the existing conversation thread and write your own message. You can also notify specific team members using the @ symbol.
Click on the names of the users you wish to tag. They’ll receive an email notification and an alert directly in their Apizeal portal. Additional options include:
Change the policy status (optional): Update the policy’s current status by selecting from a predefined list. This helps keep the entire team informed about the policy’s latest situation.
Urgent Note: You can mark the note as urgent using the checkbox at the bottom left labeled “Is this an urgent note?”
Step 3: Save the Note and Stay Connected with Your Team
When you’re ready, click the “SEND” button to create the note.
Note: Notes are for internal use only. Clients do not see them, and alerts are not sent to policy members. Notifications are shared exclusively within the agency, including agents, administrative staff, and processing personnel.
⚠️ Important: A preview of the latest note will always be visible in the bottom-left corner of the policy form screen.
